The Event Creation and Workspace Flow

Initiating Your Workspace and Saving Drafts

  1. Open your main Posh Organization dashboard and click the floating + Create event button on the right. (If managing multiple brands, use the top-left Organization dropdown menu to pick the correct Org first).

From here on, you are working inside the unified editor page:

  1. Input your event details, including: event name, branding, visuals, lineups, ticket types and event location.

    1. Important: For event location, you must input address and click the generated location from the dropdown.

  2. Scroll to the bottom of the workspace, click Create Event, and click Save Draft on the confirmation pop-up window to secure your page within your manager panel without going live.

🔒 Draft events are not publicly visible. A draft event is not searchable or clickable by anyone outside your organization — it won't appear in search results or the Explore feed. Drafts are only accessible inside your organizer dashboard. To make your event public and discoverable, go to your Events tab, open the event's Overview page, and click Publish.

  3. To publish your event, exit the event editor and head over to your main events list. Open the specific event's page, click Publish, and you're good to go!

💡 Important Event location is required in order to save your event — even in draft mode.

Modifying Your Details Live or in Draft Mode

All your events — drafts and live — live in the Events tab at the top of your Organization dashboard, or as tiled cards on your organization's landing page. To update an existing draft or live event, navigate to the Events tab in the top menu of your Organization dashboard. Select your event name from the manager list and click the ✏️ Edit Event tab to go back to the Editor page. Modify descriptions, text, location entries, or dates directly within the fields, then click Save at the bottom.

💡 Hosting a private event? In the Event Details section, click the 👁️ eye icon next to your location field to hide the address from your public event page. The location will still appear in attendees’ confirmation emails after their purchase or RSVP, and will automatically be revealed on the day of your event.

Managing Status Restrictions and Event Deletion

Events cannot return to a Draft status once ticket sales or RSVPs officially begin to maintain financial reporting accuracy.

  • Deleting a draft: Only available for unpublished drafts. Go to the Events tab, select your draft, and click Delete.

  • Workaround for live events: To freeze entry on a live event that cannot be deleted, open your dashboard ticket settings, select your active tiers, and toggle them to Hidden or change the total capacity to 0

  • Reopening a closed event: Posh events close automatically once the event date has passed — there’s no manual open/close toggle. To reopen a closed event, go to Edit Event and update the date to a future date. Once saved, the event will be active again.

  • Draft events within a live series: If a draft event belongs to a series that’s already live, it can no longer be deleted from the dashboard. To have it removed, please contact Posh support.

Duplicating (Cloning) an Event

Need to clone or duplicate a past event to save time on a repeat? You can do this in a few clicks. Remember that you can only duplicate events within the same organization. You can't duplicate the same event into another organization even if you are the owner of both organizations.

Note: event series cannot be cloned or duplicated as a bundle — only standard single-date events support this.

  1. Go to the Events tab at the top of your Organization dashboard.

  2. Find the event you want to duplicate.

  3. Click the ⋯ (three dots) icon beside the event name.

  4. Select Duplicate from the dropdown. A copy of the event will be created as a draft. All ticket tiers carry over — including names, descriptions, pricing, capacity, promo codes, group structure, ordering, and visibility settings. Event dates, past sales, and attendee data are not copied.

🚫 Note: Exporting and re-importing ticket types via CSV is not supported. Duplicating the event is the only supported method for reusing ticket tiers across events.

⚠️ Duplicated events may lose location coordinates. If your event doesn’t appear in city results on Explore, open the event editor, clear the venue field, and re-select it from the Google Maps dropdown. Save to restore visibility.

Duplicating After Printed Marketing Materials

If your event has already passed and you have printed marketing materials (flyers, posters, etc.) with a QR code pointing to that event's URL, duplicating is the correct path forward. Here's what to know about QR codes:

  • Posh-generated QR codes are tied to individual tickets and orders — never to the event page itself. These cannot be reused across events.

  • Organizer-created QR codes (e.g. a QR code you generated pointing to the event URL) will need to be updated to point to the new duplicated event's URL, as event URLs cannot be edited or transferred.

  • Need a shorter event link? Click the 🔗 link icon from your event dashboard and select Copy short link to quickly copy and share a shortened version of your event URL.

⚠️ Posh Support will not move a past event's start date to a future date to work around printed QR codes. Duplicating the event is the only supported resolution.

Enhancing Your Page Media and Visual Specs

Uploading and Organizing Images & Videos

Upload your photos and videos in one place using the unified image and video uploader in your event editor. Drag photos to reorder them and select the image you want to use as your cover. Your event media helps attendees discover your experience across Explore and the Posh app. Use the following image dimensions for the relevant placements:

  • Featured Section Upload: 1:1 square ratio (Minimum 600 × 600 px).

  • Image Gallery Upload (Web Only): 3:2 landscape ratio (Minimum 1000 × 667 px).

  • Static Event Flyer Upload: 4:5 portrait ratio (Minimum 1000 × 1250 px).

  • Animated GIF flyers: The built-in GIPHY tool is phased out. Click the standard flyer upload slot and select a .gif file directly from your device's local media files.

Adding Video Flyers to the Mobile Explore Feed

Upload a vertical 15-second autoplaying video flyer to show off your event's crowd energy. Open the Posh mobile app, select your active event, and tap Manage Event > Edit Event Page > Video. Files must be up to 15 seconds, max 15MB, standard .mp4 or .mov, and match a vertical 9:16 aspect ratio (1080 x 1920 px). A video flyer complements your static flyer; use the unified uploader to manage your photos and videos together. Audio autoplays if included.

Advanced Ticketing and Performer Layouts

Customizing Ticket Access, Visibility, and Purchase Limits

Open the Tickets tab on your event manager menu to control inventory. Click on any specific ticket tier and select Expand Settings to open advanced parameters. Here you can automate sales start and end times, input a custom password to lock ticket blocks, restrict buying access to private guest lists, or set strict per-customer purchase limits. Checkout this article to learn more about the full ticket settings and configuration. 📚

Hiding the Public Attendee Count and Guest List

You can hide the public attendee count shown in the “Hosted by [Organization Name]” section of your Event page. This uses the same Guestlist visibility setting in the event editor.

  1. On the editor page, scroll down to the Guestlist block.

  2. To keep registration counts and guest information private, click the eye icon to turn off visibility for the public guest list and/or the total number of guests going.

Showcasing Performers and Sponsors via Event Features

On the editor page, scroll down to the Event Features block, use the Add feature dropdown menu to present your lineup. Click directly on the block's header title text to change it from "Event Features" to a customized, high-hype title like "The Lineup", or "Headliners".

  • Add custom feature: Select this to cleanly list event sponsors, collaborators, or local opening acts.

  • Add Spotify artist: Select this to link your performing talent's official profiles to the page, instantly matching them with fans who follow them. Checkout this article to know more about linking Spotify talent to your page. 📚

All-In Pricing, Compliance, and Financial Tracking

📌 Important: The Budgeting feature has been removed from the dashboard as we introduce improved tools to better support your financial tracking. Stay tuned for updates.

Calculating Fees with All-In Pricing

Posh utilizes an All-In Pricing model to maintain legal compliance. To prevent hidden checkout fees required by consumer protection laws, the price displayed on the Explore feed, event pages, and ticket selection buttons reflects the total upfront cost paid by the buyer.

All-In Pricing is not just a Posh feature—it supports compliance with the Federal Trade Commission’s Rule on Unfair or Deceptive Fees, which requires live-event ticketing platforms to display the total price, including mandatory fees, upfront.

The All-In Formula

Display Price (Customers Pay) = Ticket Price + Custom Fees + Posh Service Fees
Your Take-Home Earnings = Ticket Price + Custom Fees (if any)

Breakdown of Terms

  • Ticket Price: The base price you assign to a specific ticket type.

  • Custom Fees: Additional fees set by your organization (if any), labeled on the Dashboard as either an org-wide fee or an event-specific fee.

  • You Earn (Take-Home Amount): The total revenue paid to your organization per ticket. This combines your base ticket price and any custom fees you have set.

  • Display Price: The total compliant price visible to customers across Posh. This combines your take-home earnings with the standard Posh processing/service fees.

Key Takeaway

Customers pay for the display price upfront. Posh retains the service fee, and your final take home consists of the Ticket Price + Custom Fees.

Discoverability and Platform Visibility

Why isn’t my event showing on my organizer profile?

The Show on Explore setting on the event editing page controls whether your published event appears on both the Explore page and your organizer profile.

  • On: The event appears on both Explore and your organizer profile.

  • Off: The event is removed from both Explore and your organizer profile.

To change this setting, open your event → Edit Event → Page Settings, update Show on Explore, and save. Has your event already ended? If you need help editing an event after it ends, email [email protected].

Troubleshooting Explore Page and Search Visibility

If your event isn't appearing on search or the Explore feed, ensure "Show on Explore" is enabled in your Page Settings and remove any password walls. Also, verify that you actually live-published the draft: go to your events list, open the event's Overview page, and click Publish. Lastly, brand-new pages with zero sales or RSVPs can experience brief indexing delays; share your direct link to drive early checkouts and trigger immediate public visibility. If your event is live and published but only visible under "All Locations" and not under a specific city, it may be missing location coordinates.

This happens when the venue address was typed manually instead of selected from the Google Maps dropdown, or when the event was duplicated. To fix it: open the event editor, clear the venue field, and re-select the venue from the Google Maps autocomplete dropdown. Save the event — it should appear in city-scoped Explore results within a few minutes.

Posh Explore Algorithm Mechanics

The mobile Explore feed is highly personalized for each individual attendee. The system ranks and populates pages dynamically based on three core factors:

  • Local Interest: Popular trending events drawing active crowds within the user's immediate geographic area.

  • Past Engagement: Specific music genres, event styles, and venues the viewer has interacted with previously.

  • Community Connections: Public events their friends or wider social networks are planning to attend.

  • Optimizing Visibility: Feed content maps entirely to personal user habits, meaning visibility varies across accounts. To organically boost your layout ranking, link your artists' Spotify profiles or drive early ticket sales to train the algorithm.
