Adding Team Members and Managing Permissions

Learn how to add members, promoters, and door checkers to either your entire organization or specific events, assign account roles, and customize permissions.

Scaling your operations requires delegation. Whether you're cohosting with a venue, bringing on a co-planner, or building out your production team, Posh lets you securely add staff, partners, promoters, and collaborators to your workspace — with complete control over who sees your financial data, who can modify ticket types, and who is restricted strictly to scanning tickets at the door.

There's no approval or acceptance step needed: once you add someone as a team member, they're in automatically.

Accessing Team Management Portals

Your entry pathway depends on whether a team member requires access to your entire portfolio or just a single production:

Global Organization-Level Access

  1. Click your Profile icon / Organization name in the top-right corner of the web dashboard.

  2. Select Settings from the dropdown menu.

  3. Navigate to the Team tab.

Single Event-Level Access

  1. Go to your main account dashboard.

  2. Select your specific event tile.

  3. Click the Team & Tracking tab on the top navigation bar.

Onboarding Team Members

The onboarding workflow is identical whether you are working at the Organization or Event level:

  1. Navigate to your target team workspace using the access steps above.

  2. Click the + Add team member button in the top-right corner.

  3. Enter Their Information:

    • Existing Platform Users: Type in their verified Posh account email address.

    • New Users: Manually fill out their First name, Last name, Email address, and Phone number.

  4. Assign a Core Role: Select Admin, Host, or Doorperson from the primary options grid.

  5. Customize Permissions (Optional): Toggle specific feature switches to fine-tune what they can see or edit beyond standard role defaults.

  6. Click Save Changes or Invite Now.

📨 Invitation Delivery: The system instantly dispatches a secure onboarding invitation via text message and email informing the recipient of their assigned role. There is no approval or acceptance step — the team member is automatically added to the event or organization the moment you save.

Understanding Roles & Default Permissions

Posh features three distinct foundational roles engineered for event production workflows:

ADMIN

  • Best For: Core business partners, co-producers, cohosts, venue partners, and trusted finance managers requiring absolute control.

  • Default Access: Broader access than Hosts and Doorpersons, but individual permissions must still be toggled on via Edit Permissions. Not all features are automatically accessible — the org Owner controls exactly what each Admin can see and do.

  • Exclusive Rights: Admins are the only team members permitted to access payout balances, review bank transfers, handle disputes, and manage other team profiles.

HOST

  • Best For: Sub-promoters, venue hosts, external marketers, or logistical production staff.

  • Default Access: Can view/update event descriptions, deploy tracking links, send complimentary tickets (comps), view attendee manifests, and manage guest orders (e.g., resending receipts or initiating a resale).

  • Boundaries: Completely locked out of corporate payouts, organization settings, and team profile management.

🌟 Note for Promoters: A host's custom dashboard graph reflects only the gross event revenue generated by their personal tracking link. It DOES NOT display overall event earnings or commission payout pools. This view is only available to Admins and Owners.

DOORPERSON

  • Best For: Front-of-house security, ticket collectors, and temporary entry gate staff.

  • Default Access: Can only view the attendee list to search guest names, review digital ticket receipts, and scan barcodes to check guests in.

  • Boundaries: Safely locked out of all analytics, event setups, pricing grids, and financial modules.

Managing and Removing Team Members

Instantly modify or revoke authorization passes directly from your primary team layout grid:

  • To Edit Permissions: Locate the team member's row on your summary list, click the three dots (•••) on the far right, and select Edit permissions.

  • To Revoke Access: Click the three dots (•••) utility row and select Remove.

⚠️ The Hard Termination Rule: The exact second a team member is removed from an Organization or Event profile, they instantly lose all access to history files, live tracking portals, and active data sheets linked to that project.

⚠️ Organization Owner Removal: Organization Owners cannot remove themselves from an organization through the Team settings as they can remove an Admin, Host, or Doorperson. If you need to leave an organization that you own, contact Posh Support and ask to speak with a team member for assistance.

Frequently Asked Question(s)

Can I co-host, add a co-planner, or have two hosts on an event?

Yes — add each person as a team member using the steps above. There’s no limit on how many people you can add. Assign the role that matches their involvement: Admin for the broadest level of access (event settings, attendee data, financials) — note that specific permissions still need to be enabled individually via Edit Permissions, Host for collaborators helping with promotion and event management, or Doorperson for staff who only need to scan tickets at the door.

I enabled 'View disputes' for an admin but they still can't see the Disputes dashboard — why?

The Disputes dashboard is located inside the Finance tab. Enabling the View disputes capability alone does not grant access to the Finance tab itself, so the admin has no tab to navigate to. You must enable both the Finance tab access toggle and the View disputes toggle at minimum for the admin to see the Disputes dashboard.

⚠️ Note: There is currently no way to grant access to the Disputes dashboard as a standalone permission without also granting Finance tab access. If you only want an admin to manage disputes without seeing full financial data, enable View disputes alongside Finance tab access and restrict any other Finance-related capabilities as needed.

A team member can't tag attendees — how do I fix this?

Tag Attendees is off by default for all roles, including Admins. To enable it, the org Owner must go to the team member’s Edit Permissions → Attendees and toggle on Tag Attendees.
