Take total control of your guest list and process transaction modifications directly from your workspace dashboard. Whether you need to release a free RSVP, issue a partial refund, or handle an unexpected event cancellation, Posh provides direct tools to manage your inventory.
⚠️ Crucial Policy Reminder: All cancellations, refunds, and relisting actions are instantaneous and final. Once processed, transaction adjustments cannot be reversed or undone.
Locating an Attendee Order
To modify a transaction, navigate directly to your order infrastructure:
Log into your Posh Organizer browser dashboard.
Click the Orders tab located on the top main navigation menu bar.
Locate your target guest using the running list.
Click the three dots (
...) icon on the far right side of the attendee's data row to open their action menu.
📱 On the app: Open your event, tap Orders, locate the attendee's order, and proceed with the refund.
Filtering Your Orders
Use the Status Filter at the top of the Orders tab to segment your order list. Select from:
Financed: Affirm installment plan orders. Track attendees on active payment plans.
Refunded: Fully refunded orders. Audit all processed returns.
Partially Refunded: Partial refund applied — ticket stays active.
Scanned: Tickets successfully scanned at the door. Confirms attendance.
Disputed: Active chargeback or bank dispute. See Disputes for next steps.
Table Orders: Table and bottle service orders. Isolate your table guest list.
Canceled: Voided orders — organizer-canceled or system-returned.
Kickback: Orders placed via a Kickback link. Track affiliate-referred purchases.
Created via Transfer (Transferred Ticket): Ticket transferred to another person. Quickly confirm who currently holds it.
Waitlist: Waitlist conversions — attendees who moved from waitlist to confirmed.
In Person: Orders paid at the door. Filters out online purchases.
Paylink: Orders placed via a Posh Paylink. Custom-priced transactions outside standard checkout.
📌 Pro Tip: Stack filters to narrow results — e.g. Canceled + Refunded shows all voided and returned orders.
Managing Free RSVP Orders
For free tickets or RSVP guests, clicking the three dots (...) icon reveals three primary control options:
Resend Receipt: Instantly dispatches a fresh confirmation email containing the guest's entry voucher barcode.
Copy Order #: Copies the unique transaction ID to your clipboard for rapid cross-referencing.
Cancel Order: Initiates the ticket cancellation pipeline to drop the attendee from your active ledger.
Once you select Cancel Order, a secure confirmation window will pop up to prevent accidental deletions:
📋 System Warning Label: "The order will be canceled and the tickets released. The buyer will NOT be refunded — use Refund if the buyer should be charged back. This action cannot be undone."
Hit Cancel order inside the modal once you are sure. The system will permanently void the original digital barcode and instantly return the open slot back to your public event registration capacity pool.
Managing Paid Ticket Orders
For paid credit card or installment transactions, clicking the three dots (...) and selecting Refund... launches a specialized control panel with granular financial and inventory options:
1. Select Refund Amount
Entire Order: Automatically returns the full face-value cost of the ticket(s) back to the original payment method.
Custom Amount: Allows you to input a manual dollar portion of the order total to execute a partial refund while keeping the underlying registration active.
2. Manage These Tickets
Refund and Relist Tickets: Reverses the transaction and immediately returns the newly freed inventory back into your public ticket pool for new customers to buy.
Refund and Cancel Tickets: Voids the registration entirely and removes the capacity from your event inventory pool permanently (ideal for scaling down capacity).
📌 Essential Financial Rules on Ticket Refunds:
Fee Retainment: Standard platform payment processing fees are non-refundable on all paid checkout transactions.
Automatic Invalidation: The exact split-second a refund or cancellation is confirmed, the attendee's original digital ticket QR code is instantly killed. It will display a bright red error message if scanned by your gate crew app.
Why is my refund failing? (Insufficient Funds)
If you see an insufficient funds error when attempting a refund, this means your available balance has been depleted — even if you have a pending balance on the way. Either wait for your pending funds to fully become available, or if you need further help, reach out to our support team and we’ll help you out.
Can I Make My Tickets Non-Refundable?
There is no dedicated non-refundable toggle on Posh. To mark tickets as non-refundable, add a clear non-refundable notice directly in your ticket description and in your event terms. Attendees will see this information before completing their purchase.
Approving or Denying Ticket Requests
When Require Approval is enabled on a ticket tier, purchase requests and free RSVP claims are routed directly to your Orders tab for manual review instead of being issued automatically.
🖥️ On Web:
Go to your Event.
Click the Orders tab.
Review the attendee's details.
Click Approve or Deny.
📱 On the App:
Tap your Event.
Tap Scan Tickets.
Tap Approve Pending Guests.
⏳ 7-Day Expiry: Pending requests are only available for review for 7 days. Once this window expires, the request can no longer be approved or denied.
📊 Finding Expired or Denied Requests: Organizers can view all requests that were denied or expired without action in their data export. Make sure to select Cancelled in the filter so these entries are included in the export.
Deleting Draft Events
If you are building an event canvas that hasn't been launched yet, you can completely remove the draft template from your dashboard repository.
How to Delete a Drafted Event:
Open the specific draft event from your dashboard workspace.
Go to the event Settings tab.
Scroll completely to the bottom of the configuration page.
Click Delete event.
⚠️ Hard State Restrictions:
Irreversible Action: Deleting a draft cannot be undone under any circumstances. All data and text layout fields will be permanently removed.
The Live Lock Gate: Once an event is officially published and live and has ticket revenue or RSVPs, you can no longer switch it back to a draft status. However, if your event has no paid ticket sales and no RSVPs yet, you can revert it to draft — see Reverting a Live Event to Draft below.
Reverting a Live Event to Draft
If your event is live but you need to unpublish it and return it to draft mode, you can do so as long as there is no ticket revenue and no RSVPs on the event.
How to Revert to Draft:
Open your event from your dashboard.
Click the Settings tab.
Scroll to the bottom of the page.
Click Revert to Draft — "Unpublish this event and close sales. You can publish it again at any time."
⚠️ Eligibility Requirement: This option is only available when the event has no paid ticket revenue and no RSVPs. If either condition is met, the Revert to Draft option will not be available.
🖥️ Web Only: Reverting a live event to draft is only available on the Posh organizer web dashboard. This option is not available in the mobile app.
Handling Event Cancellations & Bulk Refunds for Paid Events
If you need to completely call off an entire production and return capital back to your total buyer database simultaneously, check out our dedicated Full Event Cancellation Guide. 📚
🛑 The Live Cancellation Rule: Once an event is published live, you can no longer delete it like a draft template. Regardless of whether your event has processed zero sales or hundreds of ticket purchases, you must follow the official cancellation process for paid events if it has been published.
Managing Micro-Cancellations
The Manual Processing Rule: If you only have 3 to 5 attendees who need to be refunded for a canceled or changed event date, it is significantly faster to manually process them one by one using the three dots (
...) in the Orders tab rather than submitting a formal full-event bulk refund request to support.
Blocking an Attendee from Future Purchases
You can proactively block an attendee from making future purchases—not only when they have submitted a payment dispute, but also whenever you need to restrict them from purchasing tickets to your organization’s events.
Go to the Attendees tab, find the attendee, click the three-dot menu (⋮) at the far right of their row, and select Block user. The restriction applies to all events within your organization until you unblock them.
